Supply Chain Coordinator

Department: Supply Chain
Location: Castlebar, Mayo, Ireland

Summary

In collaboration with sales, applications engineering, quality assurance and supply chain, the purpose of this role is to provide valuable support to customers and internal manufacturing operations. The ideal candidate will serve as liaison between departments and communicate extensively with customers.

Essential Duties and Responsibilities

Duties and responsibilities include the following. Other duties may be assigned.

  • Create and manage Customer Open Order reports to communicate order status effectively and accurately, from receipt through to delivery.
  • Identify potential risks to order deliveries, develop and coordinate mitigation plans with cross-functional team to maintain original timeline or reduce delay and impact, and communicate to customers.
  • Manage customer requests for order expedites, push-outs, alterations and cancellations, in conjunction with Operations, Supply Chain colleagues, Key Account Managers and Finance, ensuring that cancellation fees are applied where applicable. Communicate this to customer.
  • Participate actively in daily operations, coordinating with Operations, Warehouse, and Supply Chain colleagues, customers, and Key Account Managers.
  • Generate lead-time analysis documents and communicate potential extended lead times to customers, and work with customers on alternative plans.
  • Maintain and organise customer files and profiles as appropriate.
  • Submit requested management reports on time.
  • Prepare and submit analysis documents as required.
  • Maintain and review records and reports of calls with customers .
  • In cooperation with Key Account Managers (KAM), identify any other current issues and communicate with customers to establish delivery deadlines.
  • Generate demand vs capacity reports weekly, focusing on product mix, available labour and available sterilization capacity.
  • Recommend orders and/or customers to move when site capacity is exceeded and network capacity has to be used. Monitor orders moved.
  • Propose optimal order patterns to customers, based on historic usage, recommended order quantities, order frequency, and order quantity.

Qualifications, Education & Experience

  • Third level qualification in Business, Logistics, Supply Chain management, or other related degree from an accredited third level institution.
  • Experience in a manufacturing environment is desirable.
  • Planning, customer service or customer interaction experience is highly desirable.
  • Ability to manage multiple tasks simultaneously
  • Proven ability to facilitate cross-functional teamwork
  • Strong analytical and problem-solving skills.
  • Must be proficient with MS Office software including Outlook, Excel, Word, and PowerPoint.
  • Working knowledge of ERP systems. Dynamics 365 would be a distinct advantage
  • Excellent interpersonal and written / verbal communication skills.
  • Possess a passion for planning, and be comfortable working with large volumes of data.
  • Be proactive and engaging when working with internal and external customers.
  • Have very good time management skills such that the successful candidate can effectively function in a fast paced and dynamic work environment.

Physical Demands

Occasional work may be done in an ISO Class 7 cleanroom environment. Powder free gloves, face masks, hairnets, gowns, and shoe covers must be worn. Because smokers continue to shed thousands of smoke particles even hours after smoking a cigarette and these particles will damage our products, only non-smokers are permitted to enter or work in the cleanroom. As a result, the successful candidate must be a nonsmoker.
